Many of our prospective clients and customers ask a similar question during their initial consultations: How can I apply for a NIE number in Mallorca —and why does so much suddenly seem to come to a standstill without this number?

This point often arises when Mallorca has long since become more than just a pleasant thought. A property is in sight, the bank wants documentation, the notary appointment is approaching—and suddenly a term appears that determines the speed and smoothness of the process: the NIE.

The NĆŗmero de Identidad de Extranjero is the personal identification number for foreign citizens in Spain. Authorities, banks, and notaries use it to clearly identify transactions. In short, as soon as a step becomes binding—contract, payment, registration, official registration—the NIE number is a prerequisite in Spain.

In this guide, we provide you with a clear overview: when you need the NIE, the best way to apply for the NIE number for Mallorca, and how to structure the process so that unnecessary waiting times and detours do not arise in the first place.

What exactly is the NIE number in Spain—and what is it not?

The NIE ("NĆŗmero de Identidad de Extranjero") is the personal identification number for foreign citizens in Spain. It remains permanently assigned to you and serves as a reference for Spanish authorities whenever a transaction needs to be officially documented, registered, or legally secured.

It is important to note that the NIE is not a residence permit and does not replace a visa or registration as a resident. Rather, it is the administrative basis on which many further steps become possible in the first place—regardless of whether you are only acting in Spain on an ad hoc basis or have long-term plans.

When do you typically need to apply for a NIE in Spain?

Mallorca often feels like a place of ease: sightseeing, conversations, initial decisions. However, as soon as things become "official" and you want to buy a villa in Mallorca, for example, Spain operates according to clear bureaucratic rules. You must apply for a NIE number in Mallorca if your identity needs to be clearly recorded in the Spanish system, and this is particularly important in the following cases:

  • Real estate transactions: at the latest upon notarization (Escritura) – often even earlier during preparation
  • Banking & payment processing: opening a Spanish bank account, large transactions, financing issues
  • Contracts & registrations: depending on the situation, e.g., insurance policies, service contracts, administrative procedures
  • Mobility: vehicle purchase, registration, insurance-related processes
  • Tax registrations: e.g., in relation to property tax in Mallorca
  • Perspective: center of life: as a basis for subsequent administrative steps if Mallorca is to become more than a second home

Applying for a NIE number in Mallorca: Method 1 (in person)

Step 1: Book an appointment (cita previa) – you can't do without it

If you are staying on the island and applying for a NIE in Mallorca, this is an efficient and direct way to do so. In practice, this almost always requires a personal appointment. Each applicant needs their own appointment, which must be booked online in advance.

Here's how to proceed strategically:

  • Select the correct appointment type: Make sure that it is for Asignación de NIE (NIE allocation) – not for topics such as TIE/Residencia if you "only" need the NIE.
  • If "nothing is available": That's normal. Appointment slots are often added or become available at short notice due to cancellations. It's better to plan regular checks than to "take a look once and give up."
  • One slot per person: This is also important for couples/families—otherwise, the "right appointment" will quickly be unavailable at the counter.

Step 2: Prepare your documents (this will save you the most time on site)

The police cite the following key points: state your motive and do not stay in Spain illegally.

Basic checklist (for almost all cases):

  • Application form EX-15 (Solicitud de NIE) completed on a computer and printed out
  • Identity card/passport + clearly legible copy
  • Reason ("Motivo") + evidence (the more specific, the better)
  • Fee form / Proof of payment (see step 3)

Motivo – how to phrase it in a way that is "suitable for the counter" (examples):

  • Real estate purchase / notarial processing: "Para la compra de una vivienda y la firma ante notario (escritura)."
  • Bank / Account / Payment processing: "To open a bank account and carry out financial transactions in Spain."
  • Contracts / Administration: "To formalize contracts and administrative procedures in Spain."

The more tangible your reason is (e.g., reservation documents, notary appointment, bank request), the fewer questions will arise.

Step 3: Pay the fee (Form 790, Code 012)

When you apply for your NIE number, there is a small administrative fee of around €10 in Spain. This is paid using the Modelo 790 (Código 012) form: fill it out online, print it out, and then pay (usually via a bank in Spain). Take the payment receipt with you to your appointment.

Step 4: The on-site appointment—what really happens?

At the counter, things usually run in a clear rhythm:

  • Documents are checked (EX-15, ID, copies, supporting documents, fee)
  • Motivo is checked (does it fit, is it plausible, is it documented?)
  • Recording/confirmation of allocation

Important to know: Processing times vary and depend primarily on appointment availability and workload. In practice, depending on the location and season, it can take anywhere from a few days to several weeks for your NIE to be issued.

Option 2: Apply for a NIE number for Spain through a consulate (if you are not in Mallorca)

If you would like to structure your processes early on, applying through a Spanish consulate is a sensible option—especially if you are not currently in Mallorca or are planning a short stay on the island. Here, too, the following generally applies: appointment + personal application in accordance with the requirements of the respective consulate.

Typical procedure at a glance:

  1. Make an appointment with the relevant consulate
  2. Prepare application documents (form, proof of identity, justification)
  3. Pay fees in accordance with consulate requirements
  4. Consulate forwards the application to Spanish authorities
  5. Feedback/result after processing

What you almost always need in practice:

  • Passport/ID card + copies
  • Application form (often EX-15 or consulate-specific requirements)
  • Plausible reason ("Motivo") + proof (e.g., real estate transaction, notary appointment, bank request)
  • Fees according to consulate information

Important for timing: The consulate usually acts as an intermediary—the processing is carried out by Spanish authorities. If a process is already concrete, such as when you are buying a house in Mallorca, allow for a buffer and avoid applying at the last minute.

Option 3: Apply for a NIE number in Mallorca through an authorized representative (lawyer/gestorĆa)

If you are unable to be there in person, have a busy schedule, or wish to outsource processes, you can apply through an authorized representative —often a lawyer, gestorĆa, or other service provider. Many of our clients who purchase luxury properties in Mallorca choose this option.

When this procedure is appropriate:

  • You are not (yet) in Mallorca, but the process needs to be prepared.
  • You want to ensure that the process runs smoothly in terms of language and organization.
  • Several steps run in parallel (notary, bank, contract documents)

What matters is:

  • A power of attorney that specifically covers the NIE application
  • Copies of your identification documents (partially certified, depending on the position/requirements)
  • The authorized person must be correctly listed in the application.
  • Plausible reason + evidence (the more specific, the fewer questions will be asked)

Note on reliability: Blanket promises such as "guaranteed deadlines" are critical. You can recognize a reliable service provider by the fact that documents, responsibilities, and time frames are explained transparently—and that realistic alternatives are presented if deadlines are tight.

Special cases and contingencies when applying for a NIE number in Mallorca

  • Non-EU citizens: often stricter evidence: For non-EU citizens, the reason for applying for a NIE is often examined more closely. As a rule, you should provide evidence of your reason with Spanish or verifiable documents (e.g., letter from a notary, contract documents).
  • Minors: Application via parent: For minors, the application is usually made by a parent or legal guardian. Have identity documents for both parties ready, as well as appropriate proof of family relationship (e.g., international birth certificate).
By the way: If you enroll your child at an international or German school in Mallorca, parents will often need a NIE as well—at the latest when contracts are signed or payments are made.
  • No Spanish address – is that a problem? This can often be resolved as long as your details are consistent and delivery/availability are clarified (e.g., via a correspondence address or the address of an authorized representative). The key thing is that the authorities can clearly identify the process.
  • Apply for a NIE number for Mallorca online? No, that's not usually possible. You cannot apply for a NIE number online in Spain, but you can prepare the application digitally—i.e., organize the appointment and take care of the forms/fees. The actual application must be submitted in person or through an authorized representative.

Frequently asked questions about the NIE number and applying for one in Mallorca

Who needs to apply for a NIE number in Mallorca?

Basically, all foreigners who pursue economic, professional, or social interests in Spain—in other words, whenever a transaction must be officially registered or legally/financially processed (e.g., real estate purchase, banking, contracts, business start-up, study/work).

What are the ways to apply for a NIE number?

There are three common options:

  • on site in Mallorca/Spain (in person by appointment),
  • through a Spanish consulate in the country of residence,
  • through an authorized representative (e.g., lawyer/gestorĆa).

Why is the NIE number required in Spain for purchasing real estate – and when should you take care of it?

The NIE is required at the latest when signing the deed (Escritura) – often even earlier for banking procedures and the formal processing of the purchase, taxes, and registrations. The time of delivery depends primarily on the schedule, workload, and the chosen method: You should often expect a total of about 6–8 weeks – especially if deadlines are tight or it is peak season. If you wish to apply for your NIE number through a consulate outside Spain, it is best to start the process 4–6 weeks in advance. In Spain itself, the NIE may be issued on the day of your appointment, but depending on the office and how busy it is, it may take longer.

What is the difference between NIE and NIF?

The NIE is your personal identification number as a foreigner in Spain. The NIF is your tax identification number—for foreigners, in many cases, this is effectively the NIE, which is used as the NIF for tax purposes. Companies are assigned their own NIF, for which a representative must be clearly designated. In short: for private individuals, the NIE is usually the central number that you also use for tax purposes.

How can you make applying for a NIE number in Mallorca as easy as possible?

By far the most convenient way is to hire a gestorĆa or lawyer to coordinate the process for you and, depending on the circumstances, also submit the application. As a rule, all you need to do is grant them the appropriate power of attorney and provide the necessary documents (ID, copies, evidence of the reason for the application). This saves you time, reduces the coordination effort, and avoids typical formal errors.
